Property Archiving Explained
A cleaner way to manage inactive property listings
Managing property listings across a busy office can quickly become cluttered. Test listings, inactive properties, duplicate records, and unused lots often remain in systems long after they are relevant. While deleting them permanently may seem like the easiest option, doing so can create reporting issues, remove valuable audit history, and introduce unnecessary risk.
To solve this, RE Software is introducing the new Property Archiving feature, scheduled for deployment on 22nd March 2026.
This feature gives Office Admins greater control over inactive properties while ensuring all historical data remains preserved for compliance, reporting, and operational transparency.
What Property Archiving Does
Property Archiving allows Office Admins to remove properties from active workflows without permanently deleting them from the system.
Once archived, a property is hidden from:
• Auction listings
• Public pages and widgets
• Multi lot auction workflows
• Reports and APIs
• Active listing views
The property remains securely stored within the platform and can be restored at any time if required.
This creates a cleaner and more manageable working environment for offices while protecting important historical records.
Designed for Office Level Control
The feature has been intentionally restricted to Office Admin users only.
Office Admins can:
• Archive properties
• Unarchive properties
All other users will see these options disabled and will be prompted to contact an Office Admin for assistance.
This approach ensures listing management remains controlled and accountable at an office level.
New Listing Tabs Improve Visibility
To support the new workflow, the All Upcoming section now includes three dedicated tabs.
Assigned
This tab displays all active properties currently assigned to auctions and active sales workflows.
Unassigned
This section displays properties that have not yet been assigned to an auction. These properties remain available for future campaigns.
Archived
The Archived tab stores all archived properties and gives Office Admins the ability to restore listings whenever needed.
The separation of these tabs creates a more structured workflow and reduces operational clutter for agents and administrators.
When a Property Can Be Archived
To maintain data integrity, not every property can be archived.
A property can only be archived if:
• It is a test property, or
• It has never been assigned to an auction
• It has no bids recorded
• It has no bidder registrations
If any of these conditions are not met, the system will prevent the archive action from occurring.
This ensures active campaign data and buyer engagement records remain protected.
How the Archive Process Works
Archiving a property is designed to be straightforward for Office Admins.
To archive a property:
1. Go to the Listings page
2. Open the Unassigned or relevant listings tab
3. Locate the property
4. Click the Archive button
5. Confirm the action
Once completed:
• The property status changes to Archived
• The published status becomes Draft
• The property is removed from active system workflows
• Editing and viewing functions are disabled
This prevents archived listings from interfering with active campaigns or reporting.
Restoring an Archived Property
Archived properties are never permanently removed and can be restored at any time.
To unarchive a property:
1. Go to the Listings page
2. Open the Archived tab
3. Select the property
4. Click Unarchive
5. Confirm the action
Once restored:
• The property status returns to Active
• The listing becomes visible again
• It can be assigned to auctions and campaigns
• Reporting and API visibility resumes
Why This Matters for Real Estate Offices
As agencies scale, listing management becomes increasingly complex. Old test records, withdrawn properties, and unused listings can clutter workflows and reduce operational clarity.
Property Archiving helps offices:

Importantly, this feature supports operational discipline without relying on permanent deletion.
What Is Not Included
The following actions are not supported within this release:
• Permanent deletion of properties
• Archiving bidder registrations
• Archiving bidding history
This ensures buyer activity and transactional records remain preserved within the system.
A Smarter Approach to Listing Management
The introduction of Property Archiving reflects a broader shift toward cleaner workflows, stronger governance, and better operational visibility within real estate technology.
As offices continue managing higher listing volumes across auctions and private treaty campaigns, maintaining system clarity becomes increasingly important.
By allowing inactive properties to be safely removed from day to day operations without deleting valuable historical information, Property Archiving provides offices with a practical and controlled way to manage their listing environment more effectively.
