Reserve Letter Feature and Enhancements
We are pleased to announce a series of new features and enhancements to the Reserve Letter process, designed to improve transparency, usability, accountability, and communication for all stakeholders involved in the auction process.
These updates provide greater visibility into vendor actions, strengthen document governance, and deliver a more streamlined experience for agents and vendors when managing reserve letters.
- ● Secondary Vendor Decline Capability: Secondary vendors can now decline a reserve letter that has already been completed and signed by the primary vendor. A mandatory reason for declining must be entered, and once declined, the reserve letter is permanently invalidated and cannot be reactivated. Agents are provided with the option to request a new reserve letter directly from the platform. Primary vendors will automatically receive an email notification advising them of the decline, including the reason provided.
- ● Vendor Information Labels: Vendor labels now display each vendor's email address and phone number beneath their name. Where a vendor is represented by a Power of Attorney, the representative's details will be displayed along with confirmation that they are acting on behalf of the vendor.
- ● Reserve Letter Activity Icons: New visual indicators have been introduced to improve visibility of reserve letter activity. A yellow exclamation icon indicates a vendor signature is pending, while a red cross icon indicates that a vendor has declined the reserve letter.
- ● Redesigned Reserve Letter Layout: Reserve Price and Vendor Bid information are now displayed in a dedicated section above the reserve letter content, improving visibility and readability. Primary vendors can also choose whether the Vendor Bid amount is included in the letter where permitted by agent-configured visibility settings.
- ● Verification Code Security Enhancements: Vendors can now request a new verification code only after a 10-minute waiting period. This additional safeguard reduces unnecessary requests while improving the security of reserve letter access.
Video Conference Tab on Property Widget Pages
We are excited to introduce a dedicated Video Conference tab on Property Widget pages, making it easier for buyers, vendors, and other stakeholders to access property-related virtual meetings from a single location.
- ● Dedicated Video Conference Tab: A new tab has been added to Property Widget pages, displaying all video conference sessions associated with the property.
- ● Quick Join Links: Users can access and join property-related video conferences directly from the widget without searching through emails or calendar invitations.
- ● Improved Collaboration: Centralised access to meetings improves communication between agents, vendors, buyers, and other stakeholders throughout the sales campaign.

Live Stream and Video Conference Icons on Listing Pages
To improve visibility of active streaming and conferencing services, new visual indicators have been introduced across Property and Presentation listing pages.
- ● New Status Icons: Live Stream and Video Conference icons are now displayed directly within Property and Presentation listings.
- ● Status Colour Coding: Icons are colour-coded to provide immediate visibility of availability status.
- ● Grey: Feature Disabled.
- ● Blue: Feature Enabled.
- ● Direct Access: Icons can be selected to immediately access the associated live stream or video conference.
Listing Assignment Rules Update
To improve operational consistency and reduce workflow errors, additional assignment rules have been introduced to ensure listings are correctly configured before key auction functionality becomes available.
Listing Status Controls
Listings can now only have their status updated once an Auction Type has been assigned. This prevents properties from being incorrectly marked as live, active, or completed before they have been associated with an auction event.
Electronic Bidder Registration
Electronic Bidder Registration will remain unavailable until the listing has been assigned an Auction Type. This ensures all registration activity is linked to a valid auction configuration, helping maintain compliance, reporting accuracy, and data integrity.
