AML/CTF Digital Identity Verification for Real Estate Agencies
A practical guide for agency compliance teams using Auctions Live and Offers Live
Digital Identity Verification
Bringing buyer identity verification closer to the digital registration journey - helping agencies build more consistent, accessible and connected compliance processes.
Buyer verification within the digital registration journey
With Australia’s Tranche 2 AML/CTF reforms now in effect, compliance teams across the real estate industry are reviewing how buyer identity checks fit within their broader customer due diligence policies and procedures.
For many agencies, the practical challenge is not simply deciding when an identity check should occur. It is creating a process that is consistent, accessible to staff and connected to the systems already being used to manage buyers.
RE Software has introduced optional Digital Identity Verification across Auctions Live and Offers Live to help agencies incorporate buyer identity checks into existing bidder and buyer registration workflows.
Why Identity Verification Is Becoming Part of the Buyer Journey
Identity verification has traditionally been handled through a mixture of document collection, manual checks and separate verification services.
As compliance requirements become more structured, agencies have good reason to consider how these processes connect with the actual buyer journey.
A bidder may already be completing a digital registration. A private treaty buyer may already be submitting their details through an offer management process. Asking that person to move into an entirely separate workflow can create additional administration for both the buyer and the agency.
Integrating identity verification into these existing processes can make it easier for agencies to apply their procedures consistently while keeping the verification outcome connected with the relevant buyer activity.
“Compliance becomes easier to manage when the required checks form part of the normal buyer journey. The objective is to give agencies a clearer and more consistent process while still allowing each business to apply its own compliance policies and risk settings.”
Anthony Nounnis, Director of RE Software - Auctions Live | Offers Live
How Digital Identity Verification Works
Digital Identity Verification is an optional feature that can be enabled within RE Software System Settings.
When an agency requires verification, the buyer receives a secure link during the relevant registration process. The buyer completes the verification online and the outcome is returned through the relevant RE Software platform for the agency to review in accordance with its own policies and customer due diligence procedures.
Enable the feature
Digital Identity Verification is activated through the relevant System Settings.
Buyer verification
The buyer follows the secure link provided during registration and completes the required identity process online.
Agency review
The verification outcome is returned through the relevant Auctions Live or Offers Live workflow for review.
This keeps the identity checking process closer to the transaction activity that prompted it.
What Is Included in the Verification Process?
The online identity verification process is provided through VerifiMe® and includes a range of checks designed to support identity verification and customer due diligence processes.
For compliance teams, the benefit is not simply that these checks are available. It is that they can form part of a defined digital workflow rather than relying entirely on separate manual processes.
Supporting More Consistent Compliance Processes
Consistency is an important consideration when implementing any agency-wide compliance procedure.
A policy may be well designed, but its effectiveness can depend heavily on how easily staff can follow it during everyday transactions.
Embedding verification within Auctions Live bidder registration and Offers Live buyer registration gives agencies the ability to introduce a more consistent process across different methods of sale.
For auction campaigns, the check can sit within the bidder registration journey. For buyers engaging through Offers Live, identity verification can form part of the relevant buyer registration workflow.
This can help compliance teams establish clearer internal procedures around when verification is required, where the outcome can be reviewed and how the resulting information fits within the agency’s record keeping processes.
Accessible Verification Outcomes and Reporting
Digital processes can also improve visibility for the people responsible for overseeing compliance.
Verification outcomes can be reviewed within the relevant RE Software platform, with reports available for agency records.
This can reduce reliance on disconnected processes where information may otherwise be spread across emails, individual staff records or separate systems.
For larger agencies and corporate groups, establishing a consistent workflow can also make internal oversight easier by creating a more repeatable process for participating offices and teams.
Reducing Repeated Verification for Eligible Buyers
Compliance processes also need to consider the buyer experience.
A buyer may participate in several auctions or engage with multiple properties over a relatively short period. Requiring the same person to repeatedly complete an identical verification process can introduce unnecessary friction where reuse is appropriate.
Verification reuse
Eligible buyers may be able to reuse a successful verification for up to three months, or until the identity document used for that verification expires.
Who pays?
Agencies do not incur the individual verification fee through this workflow. The current fee is paid directly by the buyer through the registration process.
Whether a previous verification is appropriate for a particular transaction should still be considered in the context of the agency’s own policies and customer due diligence requirements.
An Important Limitation: Individuals Only
Compliance officers should be aware of the current scope of the RE Software integration.
Digital Identity Verification currently supports individuals using eligible government issued identity documents.
Agencies should therefore ensure their internal procedures address situations where a buyer is acting through an entity or where additional customer due diligence is required.
Technology Supports Compliance. It Does Not Define It.
This distinction is particularly important for compliance teams.
No identity verification feature should be treated as a complete AML/CTF program in itself.
Technology can support a defined process by helping collect information, conduct specified checks, return outcomes and maintain accessible records. The agency must still determine what checks are required, when they should occur, how risk is assessed, what happens when an issue is identified and whether further due diligence is necessary.
That makes Digital Identity Verification a supporting component within the agency’s broader compliance framework rather than a substitute for appropriate policies, procedures, training and professional advice.
Connecting Compliance With Existing Sales Workflows
One of the practical opportunities presented by digital compliance is the ability to connect regulatory processes with systems staff already use.
Auctions Live provides the auction side of this environment, connecting bidder registration and identity verification with the broader auction workflow.
Offers Live extends the same principle into private treaty, expression of interest, tender and other structured offer campaigns.
For agencies using both platforms, this provides an opportunity to develop a more consistent buyer registration and verification approach across multiple methods of sale.
For compliance teams, that consistency can be particularly valuable. Instead of treating compliance as an isolated administrative exercise, identity verification can become a defined part of how buyers move through the agency’s digital sales environment.
Enabling Digital Identity Verification
Digital Identity Verification is optional and must be enabled within the agency’s RE Software account.
Authorised users can navigate to:
Before enabling the feature, compliance teams should consider how it fits within their agency’s AML/CTF program, customer due diligence procedures and internal responsibilities.
Agencies can also contact their RE Software account representative to discuss the feature and its configuration across Auctions Live and Offers Live.
A more connected approach to buyer verification.
By bringing identity verification into the same digital environment used for bidder and buyer registration, agencies can create clearer and more repeatable processes across multiple methods of sale.
The technology supports the process. Your agency’s policies, procedures, risk settings and customer due diligence framework determine how that process should be applied.
